VR Product Demos at a Trade Stand: Throughput and Hygiene

VR at a trade stand is a queueing problem wearing a headset. The content is usually the easy part. The hard part is that a headset serves one person at a time, needs cleaning between users, and drains battery faster than a sales conversation lasts. A three-day expo with 20,000 visitors and two headsets will reach a few hundred people at best. Design for that number honestly, or the stand becomes a bottleneck with a queue and a complaint.
Do the arithmetic before you commission content
One headset session has five stages: brief, fit, run, remove, reset. A four-minute VR film is not a four-minute session. Add 40 seconds to brief and fit, 30 seconds to remove and hand back, and 60 to 90 seconds to wipe, swap the face interface and check the battery. A four-minute experience is realistically a seven-minute occupancy. That is roughly eight visitors per headset per hour, or 64 in an eight-hour day.
If the target is 300 qualified conversations across three days, the content has to come down or the headset count has to go up. A 150-second experience with a hot-swap face interface pool moves you to twelve to fourteen sessions per hour per unit. Four headsets on that cycle clear roughly 400 people a day. That is the calculation that should drive the creative brief, not the reverse.
There is a second, quieter question. Does the demo need to be immersive at all. A great deal of what gets specified as VR is a product walkthrough that works better as a large touchscreen or an LED wall with a presenter, because those serve six people at once and require no hygiene cycle. VR earns its place when scale, interiority or hazard makes the physical thing impossible to show. A plant interior, a building not yet built, a machine too large for the stand. If the product fits on the table, put it on the table.

Seated or bounded standing
A fixed stool or a marked 1.2 metre circle with a physical rail. Roomscale on an expo floor invites collisions and forces an attendant to act as a bumper rather than a salesperson.
Hot-swap hygiene pool
Three silicone or washable face interfaces per headset, rotating through a wipe and dry cycle. Disposable hygiene covers as well, offered visibly, because the visitor needs to see the hygiene, not just receive it.
Mirrored operator view
The attendant sees exactly what the visitor sees on a stand monitor. It doubles as content for the crowd waiting and lets the attendant narrate and rescue a lost visitor.
Battery rotation, not charging
Two spare battery packs or a second charged headset per position. Charging a headset between sessions means the position goes dark for 40 minutes at exactly the busiest hour.
How we deploy a stand demo
Fix the session length first
Agree a hard cap in seconds with the sales team before storyboarding. Build the experience with a defined exit at that mark so nobody has to be asked to stop.
Design a two-minute version and a thirty-second version
Busy hours need a short loop that ends on the key message. Quiet hours can run the full piece. The switch should be a single control on the operator screen.
Rehearse the reset cycle
Time the full removal, wipe, swap and refit with a stopwatch on the actual hardware. If it exceeds 90 seconds, the hygiene kit is wrong, not the staff.
Capture the lead at the handback
The natural moment to scan a badge or take a number is when the headset comes off and the visitor is still holding attention. Put the capture device in the attendant hand, not on a separate desk.
What usually goes wrong
The two dominant failures are heat and queue. Indoor expo halls in Delhi, Mumbai, Sharjah and Riyadh run warm, and standalone headsets throttle or shut down when the internal temperature climbs, particularly under stand lighting. Keep the idle headsets off the hot table, out of direct spotlight, and powered down between sessions rather than idling in the menu. The queue failure is more expensive. A visible line looks like popularity for the first hour and like an obstacle by the third. Once the wait passes six minutes, the people who leave are disproportionately the senior ones, which inverts the entire point of the stand. Manage it with a timed slot list rather than a physical line, and give waiting visitors the mirrored screen so the wait is not empty.
Hygiene is a genuine objection in this market and it is not solved by a bottle of sanitiser on the table. Visitors decline VR because of hair, makeup, turbans, glasses, and simple discomfort with shared equipment. Some of that is unfixable, and a stand plan that assumes 100 percent uptake is wrong. Offer a visible alternative, usually a mirrored large-format screen running the same content with a presenter, so a visitor who declines the headset still receives the message. Motion sickness is the third one nobody puts in the proposal. Avoid artificial locomotion entirely, keep the camera anchored, and have a chair and water within reach. One visitor feeling unwell in front of a client stand costs more goodwill than the demo earns.
Common questions
How many headsets do we actually need?
Divide your target reach by 12 sessions per headset per hour, then by your open hours, then add one spare unit. For most single-stand expo briefs in India and the UAE that lands at three to five headsets with one held in reserve.
Standalone headsets or PC-tethered?
Standalone for almost every trade stand. Tethered rigs give better fidelity but add cable management, a PC, a failure point and a much slower reset. We only recommend tethered when the content genuinely needs the render budget, such as high-fidelity engineering models.
Can we capture leads inside the experience?
Yes, but keep it light. A gaze-select opt-in at the end works, though it converts worse than a human asking at handback. We normally log session data automatically and let the attendant capture the badge or number in person.
