Campaign engines wired to real event data, so reach is measurable — not anecdotal.
ExploreDelegate acquisition campaigns measured in badges scanned, not clicks — because ZebIQ runs the check-in system behind the numbers.
Most event marketing reports stop at the registration count. That number is easy to inflate and hard to trust. A summit can register 2,000 delegates and seat 900 in the hall, and nobody can say which campaign brought the 900 and which brought the 1,100 who never arrived. Registration is a promise. Attendance is the outcome. Everything an event actually sells — sponsor value, speaker reach, pipeline — depends on the second number, and almost nobody measures it properly.
ZebIQ measures it because ZebIQ builds it. We run the registration platform, the RFID and QR check-in, the badge printing, the event app and the on-ground network for corporate summits, trade expos, dealer conferences and government events. That means a campaign engine wired directly to real event data: a single delegate ID that carries from the first ad click through form completion, confirmation, entry gate scan, hall entry and session dwell time. Audience segmentation is built from registration fields, not lookalike guesses. Attribution is built from scans, not survey recall.
On top of that data we run the full acquisition programme — audience sourcing and list building, invitation and reminder journeys across email and WhatsApp in Hindi and regional languages, registration funnel optimisation at field level, no-show reduction sequences, speaker and sponsor amplification, and post-event nurture that hands qualified attendees to your sales team with session-level context attached. Targets are set in delegates seated, not impressions delivered. Reporting is reconciled against the check-in log, so the marketing report and the operations report are the same document.
A single tracked identity links ad click, form submission, confirmation and physical check-in scan. Every campaign, channel and outreach list is reported by delegates who actually walked in, not by registrations claimed.
Segments are built from real fields — designation, company size, city, industry, ticket type, past-event attendance — and from prior years' check-in history. Messaging to a channel partner from Indore differs from messaging to a CXO from Mumbai, and the data supports the difference.
We track the gap between clicking register and completing registration at field level, including where OTP verification, payment steps and long forms cause abandonment. Fixes are shipped by the same engineers who own the form.
Approved WhatsApp templates, email and SMS run as one sequenced journey with opt-in handling and language variants in Hindi and regional languages. Reminders carry live event data — session timings, venue map, QR badge — pulled from the registration system itself.
A structured confirmation ladder replaces the single reminder mail: re-confirmation, agenda personalisation, travel and parking detail, calendar hold, and a day-of entry pass with the delegate's QR code. Registered-to-attended conversion is tracked as a headline metric, and waitlists are released against predicted drop-off.
Sponsor reports are generated from scanned leads, booth visit counts, session attendance and dwell time captured by ZebIQ's on-ground systems. Sponsors receive audited attendee profiles and lead lists instead of a footfall estimate.
A clear, numbered path from kickoff to live operation — so you always know what happens next.
We agree what a qualified delegate looks like — designation bands, industries, geographies, buying authority — and set two targets: registrations and seated attendance. Budget in INR is planned against cost per attended delegate, not cost per lead.
Tracking parameters, registration form, delegate ID schema, WhatsApp opt-in and check-in mapping are wired and tested before the first campaign goes live. Attribution cannot be retrofitted after the event, so it is built first.
Audience sourcing runs across paid media, partner and association lists, past-attendee data, outbound and personal invitations for priority delegates. Speakers, sponsors and exhibitors get ready-to-post amplification kits with tracked links, so their reach is measured separately.
Weekly reviews cover source-level registration pace, form drop-off points and segment gaps, with creative and form changes shipped in the same cycle. From roughly three weeks out, the no-show reduction sequence takes over and re-confirmation status is tracked per delegate.
After the event we reconcile campaign data against the check-in log to produce attended-delegate attribution, sponsor ROI packs and speaker reach summaries. Attendees flow into post-event nurture — session recordings, follow-up offers, sales handover — with attendance and session history written into your CRM.
A ticketed summit needs a specific number of senior delegates in the room, and sponsors have been sold on that audience. We run acquisition against a seated-attendance target and prove the audience composition from scanned check-in data rather than the registration list.
Exhibitors renew based on the quality of visitors at their stall, not the gate number. Visitor acquisition campaigns are segmented by buying category, and each exhibitor receives a post-show report built from badge scans, booth traffic and lead captures.
Partner conferences fail quietly when confirmed dealers do not travel. Regional-language WhatsApp journeys, travel-aware reminder ladders and per-region attendance tracking give sales leadership a live view of who has confirmed, who has arrived and which territories are lagging.
The full closed loop — click to scan to session dwell — needs access to check-in data, and it is cleanest when we run registration and check-in ourselves. If you already use another platform, we can integrate where it exposes registration and scan data through an API or reliable export, and we will tell you upfront how much fidelity that setup gives you. If no attendance data is available at all, we will run the campaigns, but we will not claim attendance attribution we cannot evidence.
No, and any agency that guarantees it is guessing. Registered-to-attended conversion depends on ticket price, audience seniority, travel distance, weather, competing events and agenda strength, and free events behave very differently from paid ones. What we commit to is a target set from your own historical data, a reminder and re-confirmation system built to move that number, and honest weekly reporting against it — including when we are behind.
WhatsApp runs on approved message templates through an official business API, with opt-in captured at registration and opt-out honoured across every channel. Templates are localised into Hindi and the regional languages your audience actually reads, with variants tested by segment. Personal data stays within the registration system under your ownership, consent records are retained for DPDP compliance, and WhatsApp conversation charges are billed in INR at platform cost.
